What you can expect

RTRC Colombia, based in Bogota, Colombia seeks to employ a Receptionist/Travel Coordinator. The main responsibilities of a Receptionist/Travel Coordinator are:
 
• Classification, organization and archive of administrative documents.
• Greet and welcome visitors, determine nature of business, and conduct visitors to the employer or appropriate person.  
• Dealing with customers, suppliers, agents, and other external parties (incoming calls, transferring calls, face-to-face meetings, conducting visitors to appropriate persons, providing visitors with badges).
• Taking care of incoming and outgoing mails and deliveries.
• Performing day-to-day administrative tasks such as maintaining information files and processing paperwork, performing clerical duties like typing, proofreading, accepting orders, copying, scanning and preparation of documents, correspondence and reports.
• Maintaining calendar and coordinating conferences and meetings (reservation of meeting rooms, coffee station, catering, etcetera).
• Arranging transportation services from and to the office. 
• Coordinate, plan, organize and administrate all travel related services like transport and accommodation with consideration of health & safety and efficiency  .
• Provide support and guidance to the traveler in matters related to obtaining visas, passport and certificates of vaccination.
• Obtain and administer other travel documents like insurances.

What you will bring

•  Associates degree in a secretarial curriculum, or high school plus three years of relevant secretarial/clerical/travel coordinator experience.  
• Proficient in English, both written and verbal.
• Excellent communication skills and able to interact effectively with individuals at all levels of the organization with a high level of cultural sensitivity.
• Dedicated to providing excellent customer service. 
• Pro-active and highly organized.
